When a venue has a hard capacity limit, the door becomes the bottleneck. Qtech’s capacity control system lets guests join a virtual queue by QR, tells you how many people each group brings, and calls them in only when there is genuinely room inside.

What is capacity control and people counting?

Capacity control is a virtual queue that counts people, not tickets. You set the maximum number of people your venue can hold — say 100. Guests scan a QR code, enter how many are in their group, and receive a queue number. Qtech tracks how many people are actually inside and calls in the next groups only when space frees up, so you stay within your limit without anyone standing at the door doing mental arithmetic.

How capacity control works

1. Set your limit. Define the total number of people the venue can hold.
2. Guests scan and declare. A QR scan asks how many people are entering before it issues a queue number.
3. Qtech calls to fit. The system releases queue numbers that fit the remaining space, group by group.
4. Guests get the message. An SMS or WhatsApp tells them to come in and present their queue number at the entrance.
5. Arrival is confirmed. Staff mark the group as arrived, and their pax count is added to the live occupancy figure.
6. No-shows release space. A group called more than five minutes ago that has not arrived is set to missing automatically, and the next numbers are called in.

Why venues use capacity control

• The limit holds itself. Nobody counts heads at the door or guesses whether a group of six will fit.
• Empty space gets reused. Guests who do not turn up are released after five minutes instead of holding capacity nobody is using.
• Groups are handled properly. A queue that counts tickets treats a solo guest and a family of five the same. Counting people does not.
• No crowd at the entrance. Guests wait wherever they like and come back when their number is called.
• No app to install. A QR scan and a phone number are all a guest needs.

How does the system know how many people are inside?

Each group enters its own pax count when it scans the QR code. When staff confirm the group has arrived and presented its queue number, that count is added to the live occupancy figure. Occupancy is based on what guests declare and staff confirm, not on cameras or door sensors.

What happens if a guest is called but does not turn up?

If a group has been called for more than five minutes and has not presented its queue number, the system marks it as missing and calls in the next numbers. The space is not held.

Do guests need to download an app?

No. Guests scan a QR code, enter their pax, and receive their queue number and entry message by SMS or WhatsApp.

Can a group larger than the remaining space be called in?

No. Qtech releases queue numbers that fit the space still available, which is why the pax count is collected before the number is issued.
